Privacy Policy

Last updated: 16 May 2026

Your privacy matters to us. This policy explains what personal information we collect, why we collect it, how we use it, and the choices you have about your information.

About this policy

Emergence Fractional (we, us, our) operates the website emergencefractional.com and provides fractional commercial leadership services. We comply with the New Zealand Privacy Act 2020 when handling personal information. Personal information is information about an identifiable individual.

This policy applies to information we collect through our website, our newsletter, our scheduling tool, and our direct interactions with you. It does not limit any rights you have under the Privacy Act 2020. More information about the Act is available at www.privacy.org.nz.

What we collect

We collect personal information you give us directly, including:

  • Your name, email address, phone number, company, and role when you contact us, book a meeting, or subscribe to our newsletter

  • Information you share with us during business conversations, discovery sessions, or engagements

  • Technical information when you visit our website (such as your IP address, browser type, and pages viewed)

We may also collect personal information about you from third parties where you have authorised this, or where the information is publicly available (for example, your LinkedIn profile).

Why we collect it

We collect personal information to:

  • Respond to your enquiry

  • Schedule and run meetings with you

  • Provide the services you have engaged us for

  • Send our newsletter to people who have subscribed

  • Improve how our website and services work

  • Meet our legal and professional obligations

Providing personal information is your choice. If you choose not to share certain information (for example, your email address), we may not be able to respond to your enquiry or provide the service you have asked for.

Scheduling: Calendly

We use Calendly to schedule meetings. When you click the Calendly link on our website, you are taken to Calendly's own site to choose a time and provide booking details — typically your name, email address, and any custom information you add. Calendly collects this information on our behalf.

Calendly is based in the United States, which means your information will be transferred to and processed outside New Zealand. Calendly's own privacy practices are described in their Privacy Notice: https://calendly.com/legal/privacy-notice

We act as the data controller for information collected through bookings; Calendly acts as a data processor on our behalf.

Meetings and recording

We may record meetings using Google Meet for our own note-taking and follow-up purposes. When recording is enabled, Google Meet displays a notification to all participants at the start of the meeting. If you would prefer a meeting not be recorded, let us know before or at the start of the call and we will turn recording off.

Recordings and transcripts are kept in our Google Workspace, used only for the purpose of the engagement, and deleted when they are no longer needed.

Cookies and website analytics

Our website uses cookies and similar technologies to help the site work properly and to understand how visitors use it. The main tools we use are:

  • Squarespace Analytics — built-in analytics from our website platform

  • Google Analytics — to help us understand which content visitors find useful

Some cookies are essential for the site to function. Others, including those used by the analytics tools above, are not essential. You can manage your cookie preferences through your browser settings or by declining cookies via the cookie notice on our site. Disabling some cookies may affect how parts of the website function.

Use of artificial intelligence tools

We use generative AI tools to support our work, including drafting, research, and analysis. When we use these tools, we:

  • Take responsibility for reviewing and verifying any AI-generated output before we use or share it

  • Avoid putting confidential client information into AI tools unless those tools have been assessed as suitable for that purpose

  • Treat AI outputs as drafts and inputs to our thinking, not as final work in their own right

If you have specific preferences about how AI is used in your engagement with us, please let us know.

Who we share your information with

We may share your personal information with:

  • Service providers who help us deliver our services (for example, our website host, scheduling tool, email platform, and accounting system). These providers may be based outside New Zealand, which means your information may be held and processed overseas.

  • A person or organisation that is legally entitled to receive it (for example, a regulatory authority or law enforcement agency)

  • Any other person you have authorised us to share it with

We do not sell your personal information.

How we keep it safe

We take reasonable steps to keep your personal information secure and to prevent loss, misuse, or unauthorised access. No system is completely secure, so when you share information with us over the internet, you do so at your own risk.

If a privacy breach happens and it is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner as required under the Privacy Act 2020.

Accessing and correcting your information

You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if anything is wrong. We may ask you to confirm who you are before we respond, and we may charge a reasonable cost for providing copies.

If we agree a correction is needed and we can reasonably make it, we will. If we do not make the correction, we will note your request alongside the information.

To make a request, email us at michelle@emergencefractional.com.

Newsletter

If you subscribe to our fortnightly newsletter, we use your email address to send you the newsletter and occasional related updates. To unsubscribe at any time, simply reply with "Unsubscribe" — no hard feelings.

Our website may include links to other sites. We are not responsible for the privacy practices of those sites. We suggest you review their privacy policies before sharing any personal information with them.

We may update this policy from time to time. The current version will always be available on our website, and the "last updated" date at the top will reflect when it was changed.
